ActivBite / Client case study
The problems.
How we solved them.

From campus checkout to business records—how ActivBite’s tools support daily work, reduce repeated entry and connect the customer journey.
Tools and recorded activity are drawn from the supplied report’s 15 October 2026 review. Some available forms have no saved records, as noted below. Team benefits explain the work each tool supports; time savings have not been measured. Future workflows are clearly marked as proposed.
Recorded activity, made clear.
Report snapshot: 15 October 2026. Orders were created between 25 September and 13 October 2026.
31 recorded orders
Order states in the supplied database snapshot
- Delivered
- 26
- Cancelled
- 5
These are recorded order states. They do not measure website conversion, on-time delivery or payment success across every attempt.
27 delivered packs · 245 bars
Pack units across the 26 delivered orders
*20-bar packs are historical and retired from new sales. Bar totals multiply each pack size by delivered pack units; they do not represent unique customers.
Current application support.
Available tools across 17 business functions, with the scope and practical benefit of each workflow kept visible.
Direct Online Sales
Documented application supportThe problem
Campus customers needed one clear way to choose packs, check availability, enter delivery details and pay, without staff assembling each order manually.
How we solved it
- We built a storefront with pack selection, mixed-pack carts, stock checks and campus checkout.
- The system checks delivery details, calculates prices again before payment, reserves stock and connects the order to hosted Cashfree checkout.
The documented delivery area is NITK Surathkal. Subscriptions, loyalty and customer account features are proposed extensions.
- Choose available packs
- Enter campus delivery details
- Reserve stock and pay
- Verify payment and confirm
How this helps the team
Customers can complete the ordering steps themselves. The team receives structured orders with quantities, original prices and delivery information, reducing repeated messages and manual order entry.
Payments & Reconciliation
Documented application supportThe problem
An order needs confirmed payment information before fulfilment. Repeated payment notifications and late payments also need consistent handling.
How we solved it
- We connected hosted checkout to payment-status checks and authenticated payment notifications.
- The system checks the expected amount, prevents duplicate crediting and flags payments received after cancellation for review.
Verified customer payment is separate from money settled into the bank. Settlement matching, fees, refunds and their ledgers remain proposed work.
How this helps the team
Staff can use the recorded payment state when reviewing an order, reducing repeated reference checks. Exceptions stay visible for investigation.
Finished Goods Inventory
Documented application supportThe problem
Available packs need to stay consistent when customers order at the same time or abandon an unpaid checkout.
How we solved it
- We added pack-level stock reservation when an order is created, with reservation release after expiry or cancellation and consumption on delivery.
- Availability labels and checks for conflicting admin edits help the team review stock changes.
Commerce stock and the management workbook still require physical reconciliation. Batch expiry, loose-bar conversion and repacking controls are proposed.
How this helps the team
The team can coordinate orders against reserved pack quantities, reducing manual holds and repeated stock adjustments for expired checkouts.
Logistics & Campus Delivery
Documented application supportThe problem
Delivery staff need a usable campus location and a clear indication of which orders are ready, travelling or completed.
How we solved it
- We added campus area and room or landmark capture, plus preparing, out-for-delivery and delivered order states.
- Customers can check their order through public tracking while admins manage its progression.
The report records 26 delivered orders. Rider assignment, proof of delivery and timestamp-based on-time measurement remain proposed.
- Review confirmed order
- Prepare the packs
- Mark out for delivery
- Mark delivery complete
How this helps the team
Customer-facing tracking and a shared order state make coordination clearer and can reduce routine status enquiries.
Customer Relationship Management
Documented application supportThe problem
Customer information and incomplete checkouts need to be easy to find before the team decides whether a follow-up is appropriate.
How we solved it
- We added a customer directory and an order-derived Potential Customers view with search, order-type filters, age and potential order value.
This is not a complete CRM activity history. Identity matching, consent-aware follow-up records and segmentation are proposed; a cancelled checkout does not confirm continuing interest.
How this helps the team
Staff can locate the relevant order context more quickly instead of building a separate list from individual checkouts.
Wholesale & Institutional Sales
Documented application supportThe problem
Shops, cafés, canteens and other business buyers need a structured way to explain their location, pack preference and expected demand.
How we solved it
- We built a wholesale enquiry form and admin view, with business type, contact details, location, expected monthly requirement and preferred pack.
- Customer records can also classify accounts by sales channel.
The reviewed enquiry register was empty. Quotations, deal stages, credit approval and channel settlement remain proposed.
How this helps the team
The team has a consistent starting record for reviewing a business enquiry, reducing the need to collect the same basic details in separate conversations.
Marketing & Brand Communication
Documented application supportThe problem
The brand needs consistent product information and a practical way to collect interest before and during launch.
How we solved it
- We built the product story, brand pages, FAQs and waitlist capture.
- The admin workspace can select waitlist recipients, prepare individual emails and record sending results.
The report records a test email batch, not a measured campaign result. Attribution, suppression preferences and approved-claims management are proposed.
How this helps the team
Product information and collected interest are easier to manage from one workspace, reducing repeated list preparation and manual send tracking.
Customer Service & Complaints
Documented application supportThe problem
Customer questions need enough order and issue context to reach the right person without being lost across separate messages.
How we solved it
- We added structured contact intake with topic, message, contact details and consent, plus an admin search and review view.
The reviewed web enquiry register was empty. Cross-channel ticket history, ownership, service targets and complaint-to-batch links remain proposed.
How this helps the team
The team can review submitted questions together and avoid repeatedly asking for the basic information already supplied.
Procurement & Purchasing
Documented application supportThe problem
Purchases need a consistent record of supplier, material, quantity, unit cost and payment information.
How we solved it
- We added purchase creation and editing in Business Operations, including a generated purchase reference, supplier selection, quantity, cost, paid flag and notes.
Existing records need better material detail and dates. Formal purchase orders, receipt approval and invoice matching are proposed.
How this helps the team
Staff can enter purchases in a repeatable format and locate them for review, reducing the need to reconstruct the basic transaction from messages.
Supplier Management
Documented application supportThe problem
Purchasing needs reusable supplier details rather than repeatedly entering names, products and contact information.
How we solved it
- We built a supplier master with generated IDs, supplied products, contact details and addresses, connected to purchase entry.
Supplier approval, document validity, performance reviews and reconciled balances need further controls and supporting records.
How this helps the team
A reusable supplier record makes purchasing preparation more consistent and gives staff one place to find the basic contact information.
Raw Material Warehousing
Documented application supportThe problem
Ingredients need a shared view of opening stock, purchases, consumption and the quantity shown as available.
How we solved it
- We exposed the workbook’s raw-material stock view in the operations workspace, including quantities, value and status.
These are workbook calculations, not verified physical quantities. Material names, consumption logic, supplier lots and counted stock need reconciliation.
How this helps the team
The team can inspect the available stock calculations in one place and identify records needing attention before making purchasing decisions.
Manufacturing & Batch Records
Documented application supportThe problem
Production needs a consistent way to record output and connect a batch to the ingredients and supplier lots used.
How we solved it
- We built batch-entry forms for product, output quantity and manufacturing cost, with generated batch numbers.
- Ingredient-usage forms can link a batch to an ingredient, supplier, supplier lot and grams used.
Both reviewed registers had no saved rows. Routine adoption, process checks, quality release and batch-to-dispatch traceability are not established.
- Create a batch record
- Enter product and output
- Record ingredient lots used
- Review the saved entries
How this helps the team
The forms provide a common starting point for recording batch details, reducing the work of assembling a separate format each time.
Quality Assurance & Report Records
Documented application supportThe problem
Product and quality evidence needs a place where the team can retain and locate supporting documents.
How we solved it
- We added a Reports module for uploading and organising laboratory reports, food-safety documents, certifications, packaging reports and other supporting files.
The reviewed register had no uploaded rows. File storage does not establish approval, certification or validity; inspections, release and corrective actions remain proposed.
How this helps the team
A common report register can reduce scattered files and make supporting documents easier to find when reviewing product information.
Finance & Management Reporting
Documented application supportThe problem
Sales, purchases, expenses and receipts need structured records before the business can explain its cash and operating results.
How we solved it
- We built operations entry and editing for sales, purchases, expenses, payments received and payments made, alongside the connected management workbook.
The report identifies incomplete payment records and unresolved financial differences. Reconciled accounts, a full ledger and verified profit reporting are not claimed.
How this helps the team
The team has a consistent place to prepare transaction records and review them together, reducing fragmented entry and report preparation.
Leadership & Business Strategy
Documented application supportThe problem
Business owners need an overview of order activity, payment verification, delivery progress and stock requiring attention.
How we solved it
- We added an admin overview bringing those application measures together, with links into the relevant working records.
Approved budgets, strategic decision registers and reconciled cash forecasts are proposed additions.
How this helps the team
Owners can begin their daily review from one view instead of gathering basic activity counts from separate screens.
Technology & Application Access
Documented application supportThe problem
Public ordering and privileged business actions need separate access paths and checks on sensitive requests.
How we solved it
- We built protected admin pages and actions, server-side commerce handling and checks on requests and payment notifications.
Individual staff identities, role permissions, multifactor access, durable audit history and recovery exercises remain proposed. No independent security assessment is claimed.
How this helps the team
Customers use a focused storefront while staff handle privileged operations in the admin workspace, reducing the need for routine direct database access.
Data, Analytics & Continuity
Documented application supportThe problem
Commerce records and readable workbook copies need a clear relationship so a failed copy does not undo a valid order.
How we solved it
- We kept commerce orders, payments and pack stock in the commerce database, with workbook copies and an admin reconciliation action.
- The operations workbook remains a separate path for its business records.
Copies can become stale and do not prove tested recovery. Automatic order-to-invoice matching, freshness checks and restore testing remain proposed.
How this helps the team
Staff can work with readable copies while checkout records remain in their primary system, reducing dependence on a successful spreadsheet update for each sale.
Proposed business workflows.
Next steps across seven further business functions. These are proposed extensions, rather than completed modules. The 24 functions describe business responsibilities, not a confirmed staffing structure.
- Approve product specification
- Plan materials and batches
- Record production and checks
- Release and pack traceably
Product Research & Recipe Development
Proposed extensionThe problem
The recipe, public ingredient information and supporting product evidence need to describe the same approved version.
Proposed solution
- The proposed workflow would connect versioned recipes, recorded trials, cost review, supporting tests and approved product information before production release.
The existing recipe workbook is a starting input; it does not establish approved nutrition, shelf life or a released product dossier.
How this would help the team
A controlled product record would reduce repeated cross-checking and help teams work from the same approved specification.
Production Planning
Proposed extensionThe problem
Demand needs to become a practical batch plan based on usable materials, available people and equipment.
Proposed solution
- The proposed planning workflow would turn confirmed orders and agreed stock targets into scheduled batches with material checks, capacity and an approved recipe version.
How this would help the team
Planners would have a clearer preparation list and fewer separate checks before committing to a production date.
Packaging & Product Information
Proposed extensionThe problem
Packaging quantities, artwork, product information and batch details need to stay aligned during packing.
Proposed solution
- The proposed workflow would track packaging stock, approved artwork versions, packaging lots, print checks and material issued to each batch.
How this would help the team
The team would be able to find the approved artwork and trace packaging usage without reconstructing it from purchases and messages.
Business Documents & Regulatory Administration
Proposed extensionThe problem
Business declarations, policies and product documents need current supporting records and a named reviewer.
Proposed solution
- The proposed register would keep supporting documents, responsible owners, effective versions, review dates and renewal reminders together.
Existing public policy pages are documented. This case study does not certify legal status, registration validity or regulatory compliance.
How this would help the team
Owners would have a clearer list of documents and reviews due, reducing repeated searches during an internal review.
People Administration & Training
Proposed extensionThe problem
Team responsibilities, onboarding, training and approved pay inputs need consistent records as operations grow.
Proposed solution
- The proposed workflow would add a responsibility register, onboarding and exit checklists, training records, attendance and reviewed payroll inputs.
How this would help the team
Managers would spend less time reconstructing responsibilities and training history, with clearer handovers when people join or leave.
Facilities, Maintenance & Workplace Safety
Proposed extensionThe problem
Equipment and premises need assigned checks, service dates and a record of completed work.
Proposed solution
- The proposed workflow would maintain equipment records, cleaning and inspection logs, service reminders and repair history with responsible owners.
How this would help the team
The team would have one place to review upcoming work and equipment history, reducing reliance on individual reminders.
Expansion, Partnerships & Resilience
Proposed extensionThe problem
New locations or channels need evidence of demand, delivery capacity and sustainable costs before a larger commitment.
Proposed solution
- The proposed approach would record bounded pilots with an owner, channel costs, capacity checks and agreed criteria for expanding, changing or stopping.
Wholesale interest and channel labels do not establish multi-campus delivery, vending integrations or nationwide fulfilment.
How this would help the team
Owners would be able to compare pilot results on a consistent basis and make growth decisions with clearer operational evidence.
